Q: If I am a panelist, do I need to register for the conference?
A: Yes, all panelists must register for the conference. Panelists should register at the reduced presenter rate, available by telephone (703) 993-4317 or by the private link emailed to all presenters. The early-bird pre-registration rate for presenters is $75 for members and $105 for non-members. Conference registrations include admission to AWP’s bookfair, meetings, panels, readings, and public receptions for the duration of the conference week. Meals, lodging, and travel are not included. Q: How should I prepare for my panel presentation or reading?
A: Be sure to have an advance outline of how your event will be executed. Participants should have notes prepared for their presentation. All moderators and presenters should make sure their events begin and end on time. Please assume each page of typed double-spaced text takes two minutes to read. This means most presentations should be no longer than seven and a half pages for a panel discussion with four presenters. If you are giving a reading, choose your material in advance, rehearse and time your reading including prefatory remarks to a story or poems to ensure that your reading falls within the allotted time.


Q: May I change the description of my event or list of participating panelists before the conference?
A: All proposed changes are subject to approval by AWP. If you wish to make changes, please contact us as soon as possible with your proposed modifications.


Q: Do I need to include a question and answer section to my presentation?
A: The best panels are often those that take time to engage the audience directly. We strongly discourage reading directly from prepared written statements and advise that all panels take time at the end of each event to answer questions from the audience.


Q: How should I prepare for those in the audience that may be hearing impaired?
A: Please be prepared with five copies of your presentation in writing for the use of members who wish or need to follow a written text. People who are hearing impaired, who use sign language interpreters, or read lips need to sit where they can see both the speakers and the interpreter. The interpreter may stand close to the speaker or within a direct line of sight to allow the audience to view both the speaker and the interpreter. Speakers should be aware of the location of interpreters and attempt to keep this line of vision clear. Also, avoid speaking from a darkened area of the room. Since some people read lips, the audience should have a direct and clear view of the speaker’s mouth and face.


Q: Is it possible to use visual aids and/or handouts in my presentation?
A: Speakers who use handouts should prepare three copies in large-print format (boldface 14-to 16-point font size) and briefly describe or read all handouts to the audience. Please have copies made on white paper stock only. Speakers should indicate whether they wish their papers and handouts to be returned.
Consider the possibility that persons in the audience may be visually impaired. Allow ample time when referring to a visual aid or handout, or when pointing out the location of materials.
Note: If you would like to request that AWP consider providing audio-visual equipment for your event, you must include your request with your proposal, and write a short statement of need. Due to increasing costs for rental of audio-visual equipment, no audio-visual requests will be taken after event acceptances are made. AWP reserves the right to accept or deny audio-visual requests at its discretion for accepted events.  All requests must be included on your proposal with a statement of need for your request to be considered.


Q: If I am unhappy with my room assignment and/or time at the conference may I request a change?
A: The assignment of time and room for your event is final. Due to the complexity of organizing a conference of this size we cannot consider scheduling changes.


Q: Are there any special considerations I should make when conducting a question and answer session?  
A: Often, microphones fail to pick up voices in the audience, so speakers should always repeat questions or statements made by members of the audience.  In dialogues or discussions, only one person should speak at a time, and speakers should identify themselves so that audience members will know who is talking.
